Guidelines to Write a Letter of Thankyou

Thank you letters can be used to express your heartfelt gratitude to a person, organization, or benefactors for their contributions or generosity to you. It’s always a good idea to take the time to say thank you to everyone who has helped you in your life. It’s important to send thank you letters in a timely manner. A professional thank you letter or note, whether in hard form or via email, aids in the development and maintenance of a relationship. It helps you build up a strong and efficient network.

Why send Thank You Letter?

There are plenty of reasons to send a thank you letter to a person or an organization for instance you might consider thanking people who’ve helped you with a job, your Interview, Your studies, your application, or someone who sent you a gift. It could also be a charity or million other similar things.

Saying Thank you in a respectful manner shows that you’re grateful and kind for the receiver’s support. You could also be saying thank you to your parents or family members. Saying thank you is a common ethic that every individual should have. In this essay, we will show you how to thank someone in a professional way.

Guidelines to Write thank you letter

Below are some guidelines to write a perfect thank you letter:

  • Keep your letter specific; a thank-you letter should be less than one page.
  • If it’s not a handwritten letter then use a traditional font such as Times New Roman, Arial, or Calibri. Your font size should be around 12.5.
  • Write in a clear and concise manner.
  • Double-check your letter for typos and grammatical issues, or have a professional look it over.
  • Address the recipient professionally and correctly. 
  • Use a professional tone.

Pattern to follow for Writing Thankyou Letters:

1- Add a header:

Your letter should begin with both you and the person’s contact information

  • Salutation:

Address the letter to the person you’re writing. Use his or her formal title.

  • 1st paragraph :

Start by thanking the person for their assistance. Get to the point and talk about the cause of writing the letter.

  • 2nd paragraph:

Explain in a specific manner how their support has been helpful and how it changed your life.

  • 3rd paragraph

Express your appreciation for their generosity. If you want, say that you’d love to return the favor by buying them coffee or taking them out for food, or helping them with a task.

  • Conclude

Thank them again and use words like sincerely or best regards.

  • Signature

End the letter with your signature, followed by your typed full name.
